Privacy Notice
How personal information is collected, stored, and managed under the New Zealand Privacy Act 2020.
1. Information We Collect
MyBooksCRM stores client details (display names, email addresses, phone numbers, billing addresses), authorised contact persons, internal workflow notes, and issued financial records (estimates, invoices, credit notes, and payments).
2. Purpose of Collection
Personal information is used solely to facilitate business transactions, deliver estimates and invoices via transactional email, record payments received, and maintain statutory financial compliance. We do not sell or disclose personal details for third-party commercial marketing.
3. Statutory Retention
Under Section 26 of the New Zealand Tax Administration Act 1994, all records of taxable supplies (invoices, credit notes, payments, bank receipts) must be preserved for at least seven (7) years. Inactive clients may be archived, but financial history cannot be prematurely erased.
4. Access and Correction Rights
Under Information Privacy Principles 6 and 7 of the Privacy Act 2020, you have the right to request a copy of any personal information held about you, and to request correction if factual inaccuracies exist. Requests are processed within twenty (20) working days.
